Changing the semester unit allocation This procedure is to be followed when the allocation to semester of a unit is to be changed, ie when circumstances require that a unit be taught in semester 1 rather than semester 2 or vice versa. DEST regulations require that a university state what units will be taught in a year by: - 1 October of the previous year for units with a census date between 1 January and 30 June; and - 1 April of the current year for units with a census date between 1 July and 31 December.
It is only in exceptional circumstances that this can be changed. 1. The School seeks permission from the Faculty. 2. If the Faculty approves, the Faculty seeks permission from the Chair of Academic Board, (by way of email setting out the reasons to the Academic Secretary) following the University’s Allocation to Semesters policy at http://www.secretariat.uwa.edu.au/home/policies/courseunit/allocsem. 3. If the change is approved, the Academic Secretary advises the Faculty and the Manager, Publications (so that the change can be made to the on-line version of the Handbook). 4. The Faculty advises Student Administration and SIMS Support via email to unitchanges@admin.uwa.edu.au. The email should include details of the unit code and what change is to be made. If the unit is to be re-allocated to a non-standard teaching period, please provide additional details of the proposed: Teaching Start Date, Teaching End Date and End of Assessment Date. 5. The Administrative Assistant (Enrolments) discontinues the incorrect semester from students’ enrolments and advises SIMS Support when the change is complete. PLEASE NOTE THAT THE SYSTEM CANNOT BE AMENDED UNTIL ALL STUDENTS HAVE BEEN WITHDRAWN FROM THE UNIT 6. SIMS Support makes the appropriate changes on Callista and advises Statistics Office for DEST Requirements. 7. The Faculty advises any students who have already enrolled in the unit of the change, and if appropriate adds the unit with the correct semester to a hard copy of the student’s internal transcripts and forwards them to the Administrative Assistant (Enrolments), Student Administration to add the unit in the correct semester. |
